AI Lead Qualification by Phone: What to Ask Before the Handoff

Your web form already did half the qualifying. The lead told you who they are, how to reach them and what they want. AI lead qualification for web leads covers the other half: an AI agent calls within seconds during your team's call hours, asks the two or three things the form didn't, and hands the live lead to a rep with the answers.

Most of what you'll read about AI lead qualification is about scoring: software pulls in data on a lead, grades it against your ideal customer and decides who gets a call. That fits a B2B team with a long list of accounts. A homeowner who asked for a quote ten minutes ago doesn't need a score. They need someone to call before they fill in the next company's form.

Speed to lead matters more than the checklist. In the Lead Response Management study, the odds of qualifying a lead fell 21-fold when the first call came at 30 minutes instead of 5. Harvard Business Review's analysis of 1.25 million leads found that companies that tried to reach a lead within an hour were nearly seven times as likely to qualify it as companies that tried an hour later.

How AI qualifies inbound leads by phone

In Callingly, qualification is a list of questions you write on your AI Agent. There aren't any by default, so the step stays off until you add one. Each question can save its answer to a field on the lead, like the category, the comments or a custom field you create, or just keep it as a note.

Saving to a field is also what keeps the call short. If the lead already filled in that field on your form, the AI skips the question.

By default, the AI opens by asking if it's a good time to talk, then asks your questions before it puts the lead through. The answers land in three places:

  • The lead's fields, for the questions you mapped to one.
  • A note on the lead's timeline, headed "AI qualification:", with each question and answer.
  • The rep's briefing. A rep taking the call by phone with call screening on hears a short summary, built from the lead's name, where they came from and the most useful thing they said, before saying yes or pressing 1 to take the call.
A mortgage lead's form already says refinance. The question "Buying or refinancing?" saves to Loan purpose, which is filled, so the AI skips it. "When are you hoping to close?" saves to Timeline, which is empty, so the AI asks it and saves the answer. "Have you talked to another lender?" is a note-only question, so the AI always asks it. The answers go to the lead's fields, an AI qualification note on the lead's timeline, and the rep's briefing. Your question (saves to) On the call Buying or refinancing? Loan purpose: "Refinance" (form) Skipped: already filled When are you hoping to close? Timeline: empty Asked, saved to Timeline Talked to another lender? Note only Always asked The answers go to The lead's fields only empty ones A timeline note "AI qualification:" The rep's briefing if call screening is on Example: a mortgage lead whose form already says refinance.
Map a question to a field and the form can answer it for you.

AI lead qualification questions for real estate, mortgage, insurance and home services leads

The classic checklist is BANT: budget, authority, need and timeline. It comes from B2B selling. IBM's partner BANT form calls an opportunity validated once "you have made at least one sales call and know the customer's Budget, Authority, Need and Timeframe." That's a rep sizing up a company after a sales call. Your AI is calling one person who asked for a quote a minute ago.

For one consumer, most of BANT is settled before the phone rings. Authority is the person on the line. Need is whatever they picked on your form. What's usually left is timing, and the one detail that tells you which rep should take the call. Sometimes budget, but often the form already asked.

So our advice is two or three questions, four at the most. The lead is on the line waiting for a person, and every question adds a little more wait. Ask what helps the rep on the first call.

Some starting points to edit for your own business:

Leads Questions to start with Save the answer to
Real estate Are you buying, selling or both? Are you working with an agent yet? Have you been pre-approved? Category, note only, Pre-approved (custom field)
Mortgage Are you buying or refinancing? When are you hoping to close? Have you talked to another lender yet? Loan purpose, Timeline (custom fields), note only
Insurance Is this for auto, home or both? When does your current policy renew? Category, Renewal date (custom field)
Home services What's going on, in a sentence? Does it need someone today, or can it wait a few days? Do you own the home? Comments, Urgency, Owner (custom fields)

For buyer leads, many real estate ISAs work through a longer checklist called LPMAMA. Our real estate ISA guide breaks it down.

Questions can include the lead's details (Callingly calls these merge fields), so the AI can ask "Is this still about refinancing, Dana?" with the lead's first name and the category they picked.

After AI lead qualification: warm transfer, callback or follow-up

Here's what happens to the lead, depending on how the call goes:

  • A rep says yes. It's a warm transfer: the lead stays on the line while Callingly rings your reps, and the first one to accept is connected.
  • Nobody's free. The AI offers a callback at a time the lead picks, inside your team's hours.
  • The lead hangs up. Callingly marks the lead contacted and their follow-up sequence stops.
  • Voicemail. By default the AI leaves your voicemail message, and the sequence moves on to its next call or text, depending on your settings.
  • No answer. The sequence moves on to its next call or text.
  • "Take me off your list." Callingly stops calling the lead, cancels any callback they'd booked and marks them "Removed from List." Someone on your team can resume them later.

No score, no grade. Who's a good fit stays your team's call.

FAQ

How much does a qualified lead cost with AI?

Callingly bills each completed AI call: $0.50 on Starter, down to $0.35 on Business. A call that reaches voicemail counts. One that rings out or is busy doesn't. To get your cost per qualified lead, count a lead as qualified when it reaches a rep, then divide what your AI calls cost by that number of leads. In a made-up month on Scale at $0.40, 300 billed calls and 40 transfers come to $120 / 40 = $3 a lead. Plans start at $100 a month, and that $100 is credit your calls use up.

Can AI qualify leads after hours?

Yes, when you turn on the after-hours AI option in your sequence. The AI still calls only between 8 AM and 9 PM in the lead's time zone. With your team closed there's nobody to transfer to, so by default the AI tells the lead you're closed, gives your next available time and asks when to call them back.
